Senior Legal Services Coordinator

As Optivo’s Senior Legal Services Coordinator you’ll have a fantastic opportunity to provide the Director of Legal Services with a variety of clerical and administrative support with duties ranging from routine to moderately complex, to ensure the smooth running of the team and the delivery of services.

You’ll be a key person in the Legal Services team responsible for ensuring all administrative support is provided to the highest standard to ensure that Optivo is able to deliver legal services in a cost effective and efficient way, bearing in mind that the cases dealt with by the team may have significant financial and reputational implications.

You’ll also manage the coordinators who provide a variety of front line and back office services to administrative and office support activities for a number of team members and/or supervisors in the Litigation and Property & Contracts branches of our team. You will be responsible for developing and driving a performance culture with a focus on continuous improvement, accountability and personal responsibility and ensuring all KPIs are reviewed to measure the performance of the service.

Other duties include fielding telephone calls and emails, booking in meetings, receiving and directing visitors, word processing, updating and manipulating databases, filing, photocopying, scanning and faxing and all admin duties related to the delivery of Legal Services.

What you’ll need
You’ll be educated to A level with GCSEs including English and Maths or equivalent or demonstrable ability to operate at that level. In addition to a solid background in administration you’ll have a basic knowledge of the standard function within which the team operates (e.g. purchasing, accounting, communications, customer service, Facilities etc). Ideally you’ll have experience of developing and motivating colleagues delivering a variety of services and knowledge of implementing and monitoring performance management systems.

You’ll be able to show that can work within policies and procedures and exercise discretion referring to team leaders as needed to deliver high levels of service and satisfaction.

You’ll have effective interpersonal and communications skills, both oral and written, sufficient to explain departmental policy/procedure and be confident and well organised with a proactive approach and excellent attention to detail to ensure nothing slips through the cracks. You’ll enjoy managing several diaries and schedules at the same time and have excellent IT skills (in particular Microsoft Office suite and Outlook).

Applying a methodical and well organised approach, you’ll successfully prioritise your own workload effectively under pressure and manage conflicting priorities, taking responsibility and using your initiative to meet deadlines.
